How to Text Back Missed Calls Automatically
You're under a sink, up on a roof or in an attic. The phone rings and you can't get to it. Most callers won't leave a voicemail. They hang up and call the next contractor on Google.
Automatic missed-call text-back fixes that. When you miss a call, the caller gets a text from your business within seconds, so they know you saw them and they have a reason to reply instead of dialing someone else.
This guide covers how it works, how to set it up, what the first text should say, the texting rules most people miss, and the main tools that do it.
Quick answer
- Keep your business number. Set conditional call forwarding (forward when busy or unanswered) from your line to a text-enabled number from a text-back service.
- Register for business texting. In the US, texts sent from business software to customers go through A2P 10DLC registration (brand + campaign). Unregistered traffic gets blocked by carriers.
- Send one short, helpful text right after the missed call: who you are, that you're sorry you missed them, a question to start the conversation, and "Reply STOP to opt out."
- Get alerted and follow up. Make sure the lead reaches you (text or email) and that someone books the job.
The best ways to text back missed calls automatically
1. Leakless (built for HVAC, plumbing and roofing)
Disclosure: Leakless is our product.
Leakless is a self-serve speed-to-lead tool for home-service trades. What it does:
- Missed-call text-back within 10 seconds. When a forwarded call goes unanswered, the caller gets a text from your business's local Leakless texting number, for example: "Hi, this is {Your Business}. Sorry we missed your call! What can we help with? (Reply STOP to opt out)". If the caller leaves a voicemail, the transcript is attached to the lead.
- Keeps your existing number. You set conditional "forward when busy or unanswered" from your current line to a local Leakless number. Leakless shows forwarding steps for your carrier and runs a live test call to confirm it works. (A tracking/marketing-number mode is also available. Number porting is planned for later.)
- Replies to your other leads too. Leakless gives you a web-form embed and a forwarding address for Google LSA, Angi, Thumbtack and Zillow notification emails. It texts back only when the lead includes a phone number and asked to be contacted. When a marketplace hides contact info, you get an alert with a link to reply in that platform.
- An AI that qualifies and books. It asks for the job type, address or ZIP, urgency, and an optional photo. It gives price ranges from your own settings, never firm quotes. It books into Google Calendar or sends your existing Calendly, Cal.com, Jobber or Housecall booking link. It texts you about emergencies or upset customers within 60 seconds, and you can take over any conversation by replying.
- Doesn't text landlines. Callers on landlines get no text; you get an alert instead. Each caller gets at most one text-back per 24 hours.
- Owner alerts. Every new lead, emergency and booking reaches you by SMS and email, plus a nudge if a lead sits unanswered for 15 minutes.
- Weekly Leak Report. Every Monday at 7 AM local time: calls missed, leads recovered, jobs booked, and an estimate of the money recovered based on your own average job value.
- 10DLC handled in the app. A guided wizard registers your business for texting. Leakless covers the one-time registration fees. While approval is pending (carriers often take 1–3 weeks), you still get instant missed-call and lead alerts, and your 14-day trial doesn't start until customer texting is live.

Best for: owner-operators and small crews who want text-back, lead replies and booking in one place without hiring an agency.
2. Your phone system's built-in auto-reply
Many business VoIP phone systems and some all-in-one field-service or CRM tools include a missed-call auto-text. If you already pay for one, check its settings first. The trade-offs: these features are often generic (no qualifying or booking), and the 10DLC registration rules below still apply.
3. A live answering service
A person answers your overflow and after-hours calls. It works, but owners in r/smallbusiness describe decent ones as costing roughly $200–$400/month. You're also paying for calls that a short text conversation could have handled.
4. A marketing agency's "missed-call text-back" package
Many agencies resell this bundled with reviews and follow-up, typically on a monthly retainer, sometimes with setup fees and contracts. Ask who owns the number and the data if you leave.
Step-by-step: setting up missed-call text-back
- Pick the number that should text. Usually your main business line, so customers see a number they recognize.
- Turn on conditional call forwarding (forward when busy or no answer) to the text-back service's number. Carriers and VoIP providers each have their own codes or settings, so use your provider's instructions.
- Register for 10DLC. Expect to provide your legal business name, EIN (or sole-proprietor details), address, website, and sample messages. Approval can take weeks, so start early.
- Write your first text (see templates below). Keep it informational, not promotional.
- Test it. Call your business line from another phone and don't answer. You should get the text within seconds.
- Decide who follows up and how fast. A text only buys you time. Someone still has to book the job.
What to say: missed-call text templates
Default:
"Hi, this is {Business}. Sorry we missed your call! What can we help with? (Reply STOP to opt out)"
On a job:
"Hi, it's {Business}. We're on a job and couldn't pick up. What's going on, and what's your ZIP? (Reply STOP to opt out)"
After hours:
"Thanks for calling {Business}. We're closed right now. If this is a gas smell, leave the house and call 911 or your utility. Otherwise reply with what's going on and we'll get back to you first thing. (Reply STOP to opt out)"
Rules of thumb: say who you are, keep it to one or two lines, ask one question, include STOP, and don't pitch discounts in the first text.
The texting rules most contractors miss
- 10DLC registration is required for business texting from software in the US. Unregistered messages get filtered or blocked.
- One responsive text to someone who just called you is generally treated differently from marketing. Keep it informational, and only send more if they reply. (This isn't legal advice; check with counsel for your situation.)
- Marketing texts to past customers (tune-up reminders, promos) need prior express written consent. Being a past customer isn't enough.
- Honor STOP right away, and send marketing texts only between 8 AM and 8 PM in the recipient's time zone.
- Don't text landlines. The message won't arrive.
FAQ
Does missed-call text-back work with my existing business number?
Yes, with most setups. You keep your number and turn on conditional forwarding (busy or unanswered) to the text-back number. With Leakless, missed calls forward to a local number set up for your business, which sends the text, and setup ends with a live test call.
How fast should the text go out?
As fast as possible, ideally within seconds, before the caller dials the next company. Leakless sends it within 10 seconds of the missed call.
Is it legal to automatically text people who called me?
A single informational reply to someone who just called is a common practice, but rules vary and this isn't legal advice. Register for 10DLC, identify your business, include "Reply STOP to opt out," and don't send marketing without written consent.
What if the caller is on a landline?
The text won't be delivered. Leakless detects landlines, skips the text, and alerts you so you can call back.
Can it reply to Angi, Thumbtack or Google LSA leads too?
Leakless parses LSA, Angi, Thumbtack and Zillow notification emails you forward to it. It texts back when the lead includes a phone number and asked to be contacted. Otherwise it alerts you with a link to reply in the platform.
Will the AI quote prices?
No firm quotes. Leakless gives only the price ranges you set and hands emergencies or upset customers to you within 60 seconds.
How much does it cost?
Leakless is $99/mo (Starter), $199/mo (Pro) or $349/mo (Crew), month-to-month, with a 14-day trial that starts when your texting goes live.
What happens while my 10DLC registration is pending?
Leakless runs in alert-only mode. You still get instant alerts for missed calls and new leads, and the trial clock doesn't start until customer texting is approved.
